Positions at EDvance College are contingent upon grant funding. As such, this position is temporary and may conclude based on the availability of funds and project feasibility.

MISSION for PROGRAM ASSISTANT

The EDvance College Program Assistant is responsible for supporting the efficient and effective operation of the Academic Affairs Department, supporting three leaders in the daily operations of the department. This includes but is not limited to, grant management, facilitating communication within the institution, scheduling meetings, organizing events, arranging travel, and providing comprehensive administrative support. Through meticulous organization, clear communication, and proactive assistance, this position aims to contribute to the smooth functioning and success of our organization's initiatives and goals.

The ideal candidate will have experience supporting leaders in a fast-paced, remote environment, organizing multiple projects and priorities, navigating Canvas (as a user or admin). Strong organizational, critical thinking, communication, and problem-solving skills are essential for success in this role.

ROLES AND RESPONSIBILITIES

  • Manage daily priorities for the Academic Affairs leadership team including the VP of Early Childhood Studies, Chief Academic Officer, and Chief Innovation Officer
  • Schedule and coordinate interviews with candidates in the academic affairs department
  • Support faculty with Canvas, GoReact, Box, Google Workspace
  • Take notes and follow up on action items as needed during ongoing team meetings.
  • Assist in the day-to-day administrative tasks including scheduling, coordination, and managing the logistics for various academic events and conferences
  • Handle reimbursements and financial transactions related to program activities, ensuring compliance with funding requirements
  • Oversee the planning, implementation, and tracking of program-specific projects

QUALIFICATIONS

Required Qualifications:

The minimum education, experience, or other background required to be considered eligible to apply for, or otherwise perform the duties of the position being applied for. Candidates must meet all required qualifications to be eligible for employment.

  • Bachelor's degree in early childhood education or related field
  • One year experience as an administrative assistant or office manager
  • Proficient in using office software, including Google Workspace, Slack, Microsoft Office Suite, Canvas, and scheduling/calendar tools.
  • Strong organizational skills and the ability to prioritize tasks effectively.
  • Excellent communication skills, both written and verbal.
  • Attention to detail and high level of accuracy in work.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and the ability to handle multiple tasks simultaneously.
  • Professional demeanor and the ability to interact with internal and external stakeholders in a courteous and professional manner.

Desired Qualifications:

  • Additional education or certification in office administration
  • 2 years experience in early childhood education
  • Familiar with permit requirements and California ECE work requirement

COMPENSATION

$30.77 - $35.58 hourly

Positions hired at 75% time or higher are eligible for EDvance College's comprehensive benefits package (i.e., medical/dental/vision, 401k and additional peripheral benefits including but not limited to flexible spending accounts, life insurance, etc.).

Eligibility for medical/dental/vision benefits begins the first day of the month following the date of hire. Eligibility for 401k plan participation begins the first of the month 60 days following the date of hire.
